Job Description

Supervises and directs the adjustment and administration of claims in an assigned area including but not limited to specialization in or any combination of liability, property, errors and omissions, professional liability, mass tort, class action or personal/commercial automobile claims and litigation.

May assist or otherwise participate directly in the investigation, evaluation, and disposition of complex or unusual claims.

Position Responsibilities and Accountabilities:
Receives files from the liquidator, sends acknowledgments to liquidators as necessary, reviews and assigns claim files to appropriate file handler as evidenced by:

  • Communications to/from liquidators
  • Timely distribution of incoming losses to file handlers
  • Internal and external Recovery Unit Audit reviews

Provides meaningful supervision of all files within the unit, monitors workloads and workflow as evidenced by:

  • Timely, periodic and meaningful supervisory direction within claim file log notes
  • Equitable weekly, monthly workload distribution
  • Internal and external Recovery Unit Audit reviews

Monitors reserves on files assigned within the unit as evidenced by:

  • Timely, periodic and meaningful supervisory direction within claim file log notes
  • Meaningful direction/commentary accompanying claim handler’s Authority Requests
  • Internal and external Recovery Unit Audit reviews

Assists in developing Plan of Action on files reserved above the claim handler’s authority and approving Plan of Action on files reserved within the claim handler’s authority as evidenced by:

  • Timely, periodic and meaningful supervisory direction within claim file log notes
  • Meaningful direction/commentary concerning the claim handler’s Plan of Action
  • Internal and external Recovery Unit Audit reviews

Monitors and assists file handler in dealing with defense or coverage counsel on complex or technical matters as evidenced by:

  • Timely, periodic and meaningful supervisory direction within claim file log notes
  • Internal and external Recovery Unit Audit reviews

Approves settlement authority requests above file handler’s authority and within supervisor’s authority, and recommends settlement authority for a specified amount in excess of supervisor’s own authority to claim management as evidenced by:

  • Documentation and approval of claim file Authority Request forms
  • Internal and external Recovery Unit Audit reviews

Conducts training and informational meetings within the unit as evidenced by:

  • Documentation memorializing unit staff meetings with agenda items discussed and attendees
  • Documentation memorializing unit training sessions with training topics identified 
  • the identification of any guest speakers/presenters, and attendees 

Completes performance appraisals and compensation revisions on unit staff as evidenced by:

  • Annual completion of performance appraisals with compensation revisions, as
  • appropriate

Monitors and approves Automatic Data Processing (ADP) unit staff timesheet entries as evidenced by:

  • Daily and per pay period approval of staff timesheets

Position Knowledge and Personal Skills:

  • Must have personal and commercial claims experience
  • General knowledge of computer skills, including e-mail, word processing and data entry
  • Claim system software application to property/casualty claims
  • Claim administration policies and procedures at the level defined by the Director of Liability Claims, Deputy Executive Director or Executive Director
  • Ability to work with facts and legal concepts and applying same to achieve appropriate and acceptable claim dispositions
  • Ability to define problems, collect data, establish facts and draw valid conclusions Ability to integrate data into valid plans of action and lead them to conclusion
  • Effective oral and written communication skills with the ability to plan, prepare and present material effectively, as required, to achieve the accountabilities of the position
  • Courteous, flexible and professional attitude and behavior when working with receivers, liquidators, management and fellow employees
  • Demonstrated understanding of workplace health and safety procedures

Management / Supervisory Responsibilities:

  • Directs and monitors the work of the assigned claim unit personnel within the Claim Department
  • Establishes position accountabilities and performance standards for positions within the claim unit and assures that claim policies, procedures and applicable statutes are applied
  • Provides regular feedback on employee performance relative to performance expectations, including an annual performance review for each employee’s position within the unit
  • Establishes with each employee within the unit a set of expectations and activities for the employee’s personal training and development related to improved performance and the opportunity for promotion while providing a nurturing environment to improve the employee’s skills
  • Ensures that claim unit work areas are clean, secure, safe and well maintained
  • Identifies the desired employee criteria for a new hire into a vacant position within the unit
  • Encourages a culture of openness, process improvement, and communication
  • Identifies a plan for replacing the incumbent claim handler position if such vacancy should occur

Position Education and Experience Requirements:

  • Education: Undergraduate degree from an accredited college or university required
  • Experience: At least ten years of California multiple-line, property/casualty insurance claims experience, including two or more years of prior multi-line, property/casualty insurance claim supervision or claim management experience preferred
  • Special Knowledge: Intermediate Microsoft Office software skills, in particular Word, Excel, PowerPoint, Publisher and Outlook. Experience with Adobe Acrobat
